Viewing a Download

We know you need to archive a lot of data from different places, so we've done everything we can to make viewing this data as easy as possible.

Note: See the page on Website Archives instead if you need to download website data!

After you've created an archive, now you can view it! You'll first need to download it from your Data page (in the "Download" tab). Your download will be a zip file titled "archive".

Note: Archive downloads remain available for 30 days, but you can always re-request a new download if needed.

The file will (most likely) contain three different elements — an Excel spreadsheet called "archive", a folder called "emails", and a folder called "attachments".

Please note that your archives, both in-app on the My Data page and downloaded, cannot be named or renamed at this time.

The archive Excel spreadsheet contains:

  • Content/body of emails sent and received, posts to company LinkedIn pages, posts to Facebook pages, Tweets on Twitter, and captions of Instagram posts
  • Facebook Page description and IDs

The attachments folder contains:

  • Videos or photos posted to sites like Facebook, Instagram, or Twitter.

Note: Email attachments are included in the EML files provided in the Emails folder (see below).

Archive Excel Spreadsheet

Your spreadsheet will display different tabs for each type of linked source at your firm to make your archives easier to look through.

You can see which account content belongs to whom under Handle for Instagram and Twitter, Account for Email, and Username for Facebook.

Each tab will display different data based on the type of source. For more information about what gets displayed, check out: What data do you archive?

Emails Folder

The emails folder contains all of your raw email data in .eml format. This is the standard "MIME" email format that should be able to be viewed in or imported into any modern email client. Email attachments are embedded within the EML files.

Attachments Folder

Your attachments folder may be a little difficult to navigate at first! All attachments are sorted both by user and source.

Users folders

After clicking on the users folder, you'll see a separate numbered folder for every XY Archive user at your firm.

Source folders

After clicking into a specific user's folder, you'll see folders for any source that has attachments to view.

Clicking on these source folders will expose many folders with long names of a combination of letters and numbers. Yes, likely overwhelming! These are the IDs that correspond to the ID in the Excel archive spreadsheet. This will allow you or an auditor to match any attachments or media with its corresponding post!
